Auto-drafting fees & Welcome gifts

There were a number a good questions I received after last week’s Onboarding SOP email (here, in case you missed it).

Here’s a couple…

I see set up auto draft sales receipt in QBO. Could you make a post on how to do this? I bill through QBO and I am about to onboard a fixed fee client that I would like to use auto draft for.

Yes, please! If you have flat rate contracts with your clients, setting up an auto-draft ACH payment from their bank account will save you loads of headaches following up and chasing payments (which annoys both you and your client).

All of my revenue magically (via auto-draft) appears in my bank account by the 5th day of the month. No one pays or chases an invoice. Money just flows.

Here’s another question…

What do you recommend as a welcome gift? Typically, I’ve been donating to the new clients favored charity (1 month’s fees).

A charity donation as a welcome gift? I love it! I donate to charities in honor of my clients around the holidays, but the welcome gift is genius!

I just started doing welcome gifts in the past couple years as a kind of experiment and it sounded fun. (I like it. I think I’ll keep it in my SOP.)

I send them a Loop & Tie gift.

Here’s why…

One of my clients gifted me Loop & Tie for the holidays last year. With Loop & Tie the gift receiver gets to choose the gift they want to receive (based on the dollar value and “collection” you select). So I chose a super collapsible and light chair that I can carry with me when I hike.

I love this chair a stupid amount.

Now every time I use this chair, I think about how much I love it and I think happy thoughts about my client.

I want my clients to think happy thoughts about me :o)

BUT….you absolutely do not have to include a welcome gift in your onboarding process. Maybe you send a welcome PDF (I don’t do that) or something else that helps the new client feel like they’ve just entered something new and exciting.

Make your onboarding process your own and do what feels right for you and what you’re building.

That’s the most important thing of all.

Behind-the-scenes in my business this week:

It’s “Week 3” of my close process, so my week is chocked full of my monthly client meetings on Tuesday and Thursday. I’ve been keeping my Mondays meeting-free lately and I really like that.

I also signed that new Tier 1 client last Friday! (happy dance!) This client will replace my lost Tier 1 client from August…and is actually a little bigger and pays a higher monthly rate.

I consider myself “at capacity” now, so will stop accepting discovery calls until I have a need again, which will free up some time in my weeks. Wins all around!

No work Wednesday included getting my car washed and adding air to my tires to account for the quick drop in temperature in the mountains. Snow by Friday maybe!
